How Often to Record Snapshots
Snapshots are the foundation of your data in Policy Stack. Each snapshot captures a point-in-time picture of your policy's cash value, death benefit, and loan balance — straight from your carrier statement or portal. The more regularly you record them, the more useful your tracking becomes.
Minimum: Once Per Year
At a minimum, record a snapshot when you receive your annual carrier statement. This is the most accurate document your carrier provides, and it includes:
- Current cash value
- Current death benefit
- Outstanding loan balance (including capitalized interest)
- Dividend information
- Premium payment summary
Your annual statement is the single most reliable data source for your policy. Even if you do nothing else, recording this once a year keeps Policy Stack functional.
Ideal: Every Time You Check Your Carrier Portal
Most carriers offer online portals with current policy values. If you check your portal — whether monthly, quarterly, or after a significant event — record a snapshot while the numbers are in front of you.
Common times to record a snapshot:
- After taking a policy loan — your loan balance changed
- After making a loan repayment — your loan balance decreased
- After a premium payment — your cash value may have updated
- After a dividend is credited — your cash value and/or paid-up additions changed
- Quarterly check-in — a good rhythm for active banking practitioners
What to Capture in Each Snapshot
Every snapshot records three core values:
- Cash value — the current net cash surrender value
- Death benefit — the current total death benefit (base + PUA additions)
- Loan balance — the total outstanding loan balance including capitalized interest
Use the exact numbers from your carrier statement or portal. Do not round or estimate. Policy Stack works best with actual reported figures.
Why Regularity Matters
Trend Accuracy
Policy Stack uses your snapshot history to show trends — how your cash value is growing, how your loan balance is changing, and how your Available CV evolves. More data points create a clearer picture.
Example: If you record only annual snapshots, your cash value growth chart shows one point per year. If you record quarterly, you see the actual growth curve with four times the detail.
Data Freshness
Your Policy Stack dashboard includes a data freshness indicator that shows when each policy was last updated. Stale data means your dashboard totals and metrics may not reflect your current position.
Deployment Tracking
If you are tracking capital deployments against policy loans, current loan balances matter. An outdated loan balance means your LTV ratio and Available CV calculations are based on old data.
Batch Upload for Historical Data
If you have historical carrier statements (paper or digital), you can enter past snapshots to build a complete history. Enter them with the statement date — Policy Stack will order them chronologically.
This is especially useful when you first start using Policy Stack. Entering 2-3 years of annual statement data gives you an immediate trend line to work with.
A Practical Approach
A sustainable rhythm for most practitioners:
- Annual statement — always record this (most accurate data)
- After major events — new loans, large loan repayments, PUA changes
- Quarterly check — if you are actively managing deployments
