Agency Invitations and Roster Changes
Agency roster changes affect who can work the shared client pool. They do not expose advisor personal banking workspaces, and they do not delete client data.
Accepting an Invitation
- Open the agency invitation link.
- Sign in with the invited email address.
- Review the agency name and shared-client access explanation.
- Accept the invitation.
- Open the context switcher and choose the agency workspace if it is not already active.
After acceptance, the advisor joins the agency roster and can work shared agency clients. The advisor keeps their own Practice account unless the agency owner separately turns on owner-covered billing.
What Existing Clients Do
Existing contacts remain intact. When contacts enter the shared agency model, Policy Stack keeps their current advisor as the primary advisor where possible. That preserves daily My book views while still making the shared client pool available from Agency book.
Client consent is agency-wide for agency relationships. An active advisor in the agency can work shared agency clients according to the client's consent and the access level available for that relationship.
Owner-Covered Billing
The agency owner can optionally cover another advisor's Practice subscription. This is separate from roster membership:
- Joining an agency does not automatically move billing to the owner.
- Covered billing can be started or stopped per member by the owner.
- Owner-covered advisor billing is not the same as client seats or team seats.
Leaving or Removing a Member
When an advisor leaves or is removed:
- They lose access to the agency shared client pool.
- Their own Practice account remains separate.
- Agency records, notes, timeline entries, and client history stay with the agency.
- Clients where they were primary remain agency records and can be reassigned.

Owner Changes and Dissolving an Agency
Only the owner can administer owner-level agency actions. If the owner needs to leave, transfer agency ownership before removing that owner role. Dissolving the agency ends the shared agency layer; advisor accounts and client-owned data remain separate from the dissolved roster.
Team Members Are Managed Separately
Agency advisors are managed from Practice Settings -> Agency. Staff team members are managed from Practice Settings -> Team. A team member can help operate agency work, but they do not become an agency advisor or receive primary-advisor ownership.
