Primary Advisor Ownership
Primary advisor ownership helps an agency work from one shared client pool without losing sight of who owns each relationship day to day.
In an agency, every active advisor can work shared agency clients according to the client's agency consent. The primary advisor field does not limit visibility by itself. It controls book filters, task routing, and the ownership label shown on client records.
What the Primary Advisor Means
The primary advisor is the relationship owner for a shared client or prospect. Use it to answer: "Whose book is this record in right now?"
Primary advisor ownership affects:
- My book filters on client, prospect, and CRM views
- Advisor-specific filters for agency members
- Ownership labels on client detail pages
- Task and alert routing where a client-level owner is needed
It does not change the client's consent. Agency-shared records remain part of the agency pool.
My Book vs. Agency Book
Agency CRM views include ownership filters:

Use My book for daily practice work. Use Agency book when reviewing the full shared pool, auditing coverage, exporting a wider list, or helping another advisor.
Unassigned Records
Unassigned is intentional. It is useful for:
- Imported contacts that need triage
- Shared intake queues
- Prospects not yet routed to a relationship owner
- Clients temporarily waiting for reassignment
Unassigned records are still agency records. They are not hidden or deleted; they simply do not count toward any one advisor's My book view.
Existing Clients After Joining an Agency
When existing one-advisor contacts enter the shared agency model, Policy Stack keeps their current advisor as the primary advisor. That makes the agency view useful immediately: records already associated with one advisor appear in that advisor's My book view instead of landing in an unassigned pool.
Setting the Initial Advisor
When adding a client or prospect inside an agency, use the Assigned advisor field during intake:
- Choose yourself for your own book.
- Choose another active agency member when you are entering the record for them.
- Choose Unassigned when the agency has not routed the record yet.
The assigned advisor becomes the primary advisor on the shared record.
Changing the Primary Advisor
Open the client detail page and use the Primary advisor control in the header area. Depending on your agency permissions, you can assign the record to another active member or clear it back to Unassigned.
Changing the primary advisor updates ownership for agency filtering and routing. It does not delete notes, timeline entries, connection history, seat history, or client data.
Practical Workflow
For most agencies, a simple operating rhythm works well:
- Review Unassigned records regularly.
- Assign each ready record to an active advisor.
- Work from My book during the day.
- Use Agency book for agency-wide reviews, coverage checks, and exports.
