Running a Policy Review Meeting
Annual and semi-annual policy reviews are one of the highest-value touchpoints in a whole life banking practice. Policy Stack gives you tools to prepare, conduct, and follow up on review meetings from one place.
Before the Meeting
Open the client's profile and review the following:
- Net CV — total cash value across all policies minus total loan balances
- Snapshot history — confirm the data is current; if the last snapshot is more than 90 days old, ask the client to update before the call
- Active policy loans — review each loan's balance, rate, and repayment progress
- Deployments — check active capital deployments and their recorded return rates
- Notes from last review — read through previous meeting notes so you walk in with full context
Add a prep note to the client's profile summarizing what you plan to discuss.
During the Meeting
Review Key Metrics Together
Pull up the client's dashboard during the call to walk through:
| Metric | What to Discuss | |--------|----------------| | Cash value growth | Year-over-year change since last review | | Loan-to-value ratio | Current utilization relative to carrier limits | | Repayment progress | Pace of loan repayment on active loans | | Deployment spread | Recorded return rate minus loan rate on each deployment | | Capital velocity | How many times capital has cycled through the system |
Recorded-only values use Actual as the implicit default. Planned and Projected values stay explicitly badged, and mixed-source comparisons label Actual when needed.
After the Meeting
-
Add notes to the client's Notes tab — capture key topics, action items, and follow-up dates discussed during the call.
-
Set reminders for any follow-up actions discussed during the call.
-
Update the client's pipeline stage if appropriate.
Set a recurring annual reminder tied to the client's policy anniversary date so you never miss a review window. See the Anniversary Prep article for setup instructions.
