Client Tags and Organization
Tags give you a flexible way to categorize clients beyond the built-in filters (connection type, engagement, lifecycle stage). Use them to create custom groupings that match how you think about your book.
Adding Tags to a Client
From the client's profile or the client list quick-action menu:
- Click the tag icon or "Add Tag"
- Type a tag name — existing tags appear as suggestions
- Press Enter to apply a new tag or click an existing one
Tags are shared across your practice — every team member sees the same tag library.
Common Tagging Strategies
| Strategy | Example Tags | Use Case | |----------|-------------|----------| | Service level | VIP, Standard, New | Prioritize outreach and review frequency | | Product focus | Whole-life-only, Multi-policy, PUA-focused | Segment by banking strategy | | Review cadence | Quarterly-review, Annual-review | Track which clients need scheduled check-ins | | Source | Referral, Directory, Event, Website | Understand where clients come from | | Location | State abbreviations | Useful for multi-state practices |
Using Tags with Smart Lists
Tags are available as conditions in Smart Lists. Create a Smart List with the condition "Tag equals VIP" to maintain a dynamic list of your most important clients. Combine tags with engagement scores for precise segmentation — for example, "VIP + Low Engagement" surfaces high-priority clients who need attention.
Managing Tags
- Rename a tag — from Settings or the tag management panel. All clients with that tag are updated automatically.
- Delete a tag — removes the tag from all clients. This does not delete client data.
- Bulk tagging — select multiple clients in the client list, then use the bulk action menu to apply or remove tags in one step.
Keep your tag library focused. Five to ten well-defined tags are more useful than fifty overlapping ones. Use Smart Lists for complex segmentation instead of creating a tag for every scenario.
