Inviting Clients
Adding a client to your practice starts with the Add Client dialog on Practice → Clients (or Practice → Seats). The dialog gives you two CTAs that match the two paths most advisors actually use.
Two Paths from the Add Client Dialog
- Invite directly to a seat — for clients you're ready to put on Builder Pro right now. You assign a seat at invite time, and (if you want) override the default seat expiration just for this invitation.
- Add to CRM without inviting yet — for contacts you want to track before reaching out. They land in your CRM as Not Invited. Send a connection invitation when ready.
Both paths are reversible. A CRM-only contact can be invited later. A direct-to-seat invitation can be cancelled before the client accepts.
Sending the Invitation

Open Practice → Clients or Practice → Seats and click Add Client.

Enter the client's email address. This pre-fills the invitation and matches them to an existing Policy Stack account if they have one.

Choose a path — "Invite to a seat now" or "Add to CRM, invite later." If you choose the seat path, you can also set a custom seat expiration that overrides the default for this one invitation.

Add an optional message (or use the default welcome message configured in Settings → Personal Message).

Click Send Invitation. The client receives an email and the invitation lands in your dashboard with Pending status.

Track the invitation in Practice → Pipeline → Connections (or Practice → Seats for seat invitations). You can resend, extend, or revoke a pending invitation at any time.
What Your Client Sees
When the client clicks the invitation:
- If they already have a Policy Stack account, they're prompted to sign in and explicitly accept or decline the connection. The decision is theirs.
- If they don't have an account, they're guided through a streamlined signup flow and then prompted to accept or decline.
- They see your name and practice name before deciding. They're never connected without explicit consent.
If you sent a seat invitation, accepting the seat seats them. Sharing data with you is a separate second decision they make from Settings → Advisor Access — see What "Connected" Means for the dual-consent model.
After Acceptance
Once the client accepts:
- They appear in your Clients list with a Connected status (and Seated if you included a seat)
- You see their basic profile and any data categories they've enabled sharing for
- You don't automatically see anything else — the client controls data-sharing scope by scope
Pending, Expired, Declined
- Pending — invitation sent, awaiting client response. Resend or revoke at any time.
- Expired — invitation passed its expiration without being accepted. Use the dashboard to send a new one; the old one is invalidated automatically.
- Declined — the client declined. The invitation closes and the contact remains in your CRM as Not Invited (or whatever state predated the invitation).
You can set the default invitation expiration in Settings → Seat Defaults. Override per invitation when needed.
Revoking Access Later
Disconnecting and revoking a seat are separate actions. See Revoking a Seat and What "Connected" Means for how each operates independently. Deleting a client profile in your CRM is yet another separate action — it removes the CRM record but does not end an active connection or seat.
