What Your Agency Partners Can See on a Shared Client
An agency shares the client pool. It also shares the working records on those clients: the deals, the interaction history, and the documents. This article says exactly which records cross between advisors, what you can do with a partner's record, and what stays yours alone.
This applies only to contacts that belong to an agency. On a contact outside an agency, nothing here changes — your records stay yours.

Sharing is read-only in both directions. You can open a partner's deal, read their meeting notes, and download their uploaded illustration. You cannot edit, move, or delete any of it — and they cannot touch yours.
Every Shared Record Says Whose It Is
Any record on the screen that belongs to another advisor in your agency carries a label:

You will see it on the deal record, in the deal list on the client profile, on interaction rows in the client Timeline, on document cards in the vault, and inside the document viewer. If the owning practice has no name recorded, the label reads Shared from your agency instead — it always tells you the record is not yours.
Where a record is shared, the buttons that would change it are not shown. A partner's document has no pin or delete control and its notes field is read-only; a partner's deal has no Edit, Mark Won, Mark Lost, or Archive; a partner's interaction has no delete.
Teammate vs. Agency Partner
Two different labels appear on the Timeline, and they mean different things:
- Added by Dana · Team — someone on your practice's team logged this. It is your practice's record.
- Shared from Northwind Financial · View only — an advisor at another practice in your agency logged it. It is their record.
Deals
A deal on a shared contact appears in that contact's deal list no matter which advisor owns it, and opens read-only if it is a partner's.
Your pipeline board is different: it shows only your own deals. Pipeline stages are defined per advisor, so a partner's deal has no column that would mean the same thing on your board. The board stays your working queue.
A deal whose contact was deleted stays with its owner. There is no shared contact left to share it through.
Notes and Interactions
The client Timeline and the Notes list show the operational CRM record for the shared client — calls, texts, meetings, and general notes from every active advisor in the agency. That matches the rest of the shared pool: an agency link already gives partners read access to the client's banking data, so fencing off "met Tuesday" while sharing cash value would not be a coherent line.
Private notes stay private. The private notes on a client's Blueprint are a separate surface and remain visible only to the advisor who wrote them. Use that surface for commentary you do not want a partner to read.
Documents
Documents attached to a shared contact are visible and downloadable across the agency, labelled with their owner. Only the uploading advisor can pin, rename, delete, or edit the notes on a document.
One exception is worth knowing: a document attached to the client's household rather than to the shared contact stays visible only to the advisor who uploaded it. There is no shared contact on that record to share it through.
What Never Crosses
Your practice numbers stay yours. Analytics, book of business, practice goals, practice depth, and pipeline metrics are all scoped to you alone — a partner's book never counts into your totals, and yours never counts into theirs. Sharing the records does not merge the practices.
