Bulk Seat Invite
When you're ready to bring multiple clients onto your practice at once, the bulk seat invite flow lets you select contacts from your client list and send seat invitations in a single operation.
Starting a Bulk Invite
- Navigate to Clients in the left navigation
- Click the Bulk Invite button in the toolbar above the client list
- The list enters selection mode — checkboxes appear next to each contact
Selecting Contacts
Check the box next to each contact you want to invite. You can also use the header checkbox to select all visible contacts on the current page.
Sorting Options
While in selection mode, you can sort the list to find the right contacts:

Use sorting in combination with your existing client list filters to narrow down the selection.
Seat Cap Enforcement
Your practice tier determines how many seats you can fill. The bulk invite screen shows a summary at the top:
- Available seats — How many seats remain on your current plan
- Selected — How many contacts you've checked
- Allowed — How many of the selected contacts can receive invitations (limited by available seats)
- Blocked — How many selected contacts exceed your seat cap
If you select more contacts than you have available seats, the excess contacts are marked as blocked. Policy Stack fills seats in the order contacts appear in your sorted list — contacts at the top are invited first.
If you need more seats than your current plan includes, you can purchase overflow seat packs from Settings > Subscription before starting the bulk invite.
Sending Invitations
Click Send Invitations to dispatch seat invitations to all allowed contacts. Each contact receives an email with instructions to accept the seat and connect their account.
Skipped Contacts
Some contacts may be skipped even if they're within your seat cap. Each skipped contact shows a reason:

After Invitations Are Sent
Invited contacts appear in your client list with a "Pending" badge until they accept. You can track invitation status from the Clients list by filtering on the "Pending" type. Pending invitations expire after 14 days — after that, you can re-invite the contact.
