Anniversary and Milestone Prep
Policy anniversaries are natural moments to connect with clients. Policy Stack surfaces anniversary dates from client data and gives you tools to prepare for those conversations.
Setting Up Anniversary Reminders
If your client has policies recorded in Policy Stack, their policy issue dates are stored and accessible. Use these to set anniversary reminders with the exact date:
-
Open the client's profile.
-
Click the Banking tab to see their policies.
-
Note the issue date for each policy.
-
Go to the Reminders tab.
-
Click "Add Reminder."
-
Title it something specific: "Annual review — [Policy Name] anniversary."
-
Set the due date to the upcoming anniversary date.
-
Toggle "Recurring" and select "Annually."
-
Save the reminder.
Set the reminder 2–3 weeks before the anniversary date, not on the date itself. This gives you time to review the client's current data before the call and send a scheduling note ahead of time.
What to Review Before an Anniversary Call
When the reminder triggers, open the client's profile and review:
- Net CV — Total cash value vs. loan balances since last year
- Snapshot history — Has the client updated their snapshot? Is the data current?
- Active loans — Any policy loans and their repayment progress
- Deployment performance — How are active assets tracking?
- Notes from the last year — What was discussed, what was actioned
This preparation means you walk into the call with their complete picture in mind.
Milestone Reminders Beyond Anniversaries
Anniversaries aren't the only milestone worth tracking. Consider reminders for:
- Loan draw recorded — Follow up 3 months after a client records a new policy-loan draw to check on repayment progress
- New deployment — Check in 6 months after a capital deployment is recorded
- Policy added — Reach out 30 days after a client adds their first policy to confirm their records are complete
- Inactivity — If a client hasn't updated their data in 6 months, a prompt note helps
Using Notes for Pre-Call Prep
Before an anniversary call, add a note to the client's profile with your prep observations. This keeps your preparation recorded and gives team members context if they're joining the call.
