Adding Client Notes
Notes let you capture what happened in a meeting, what the client mentioned, or anything worth remembering. They're stored on the client's profile and visible to your team members with access.
Adding a Note
-
Open the client's profile.
-
Click the Notes tab.
-
Click "Add Note."
-
Type your note in the text area. Markdown formatting is supported.
-
Add optional tags to categorize the note (e.g., "meeting," "follow-up," "policy-review").
-
Click "Save Note."
The note appears at the top of the Notes tab immediately, timestamped with the current date and time and attributed to your account.
Note Tags
Tags help you categorize and later filter notes. Common tags advisors use:
- meeting — notes from a scheduled call or in-person meeting
- follow-up — something you need to action later
- policy-review — notes from an annual policy review session
- discovery — initial discovery call notes
- client-request — something the client asked for
You can create custom tags on the fly — just type the tag name when adding a note and press Enter. Tags are shared across your practice (your team members see the same tags).
Searching Notes
At the top of the Notes tab, a search bar lets you search within that client's notes. Search matches note body text and tags. Useful when you need to find what was discussed in a specific past meeting.
To search notes across all clients, use the global search (Cmd+K or the search bar in the top nav) and filter by type "Note."
Editing and Deleting Notes
You can edit or delete notes you wrote. Click the three-dot menu on any note to access edit and delete options.
Team members can see notes you write, and you can see notes they write, but each person can only edit or delete their own notes. This maintains an accurate record of who recorded what.
