Managing Client Seats as a Team Member
Active team members can manage client seats and client invitations from the practice workspace. This lets practice managers handle day-to-day client access without needing the practice owner's billing access.
Actions Team Members Can Take
Team members can:
- Invite a client directly to an advisor-paid seat
- Run invite pre-checks while typing the client's email
- Resend a pending seat invitation
- Cancel a pending seat invitation
- Assign an available seat to an eligible client
- Revoke an assigned seat
- Extend or remove a seat expiration
- Update the default seat duration and default personal message
Where to Manage Seats
Use these practice pages:
- Practice -> Seats for seat utilization, invitations, resend/cancel actions, revoke, and expiration edits
- Practice Settings -> Seat Defaults for the default duration and default invitation message
- Practice -> Pipeline -> Clients when adding clients before deciding whether to invite them to a seat
Billing Still Belongs to the Owner
Team members can operate client seats, but they cannot manage the subscription:
- They cannot open the Stripe billing portal.
- They cannot upgrade, downgrade, cancel, or reactivate the advisor plan.
- They cannot purchase or remove overflow capacity from billing settings.
- They cannot change the practice owner's card or invoice details.
If a seat action requires more paid capacity, the practice owner handles the billing change.
The split is intentional: team members can keep client access moving, while subscription and invoice control stays with the practice owner.
Seat Defaults
Seat defaults apply to future invitations:
- No expiration keeps new seats active until revoked.
- Custom duration sets a default number of months for new client seats.
- Default personal message pre-fills the note in future client-seat invitations.
You can still override the default when inviting a specific client.
