Winning and Losing Deals
Not every prospect becomes a client — and tracking outcomes helps you understand where your process works well and where prospects disengage.
Marking a Deal as Won
A deal is "won" when the policy is issued and in force.

Open the deal detail page.

Click "Mark as Won" in the header (or drag the card to the Won column if you've enabled it).

Confirm the won date (defaults to today).

Optionally, add a note about what moved the prospect across the line.

Click "Confirm."
Won deals are removed from the active board and recorded in your pipeline analytics. If the client already has a Policy Stack account, link the deal to their account at this step.
Marking a Deal as Lost

Open the deal detail page.

Click "Mark as Lost."

Select a loss reason from the dropdown (see reasons below).

Optionally, add a note with more detail.

Click "Confirm."
Lost deals are removed from the active board but remain in your pipeline history and analytics.
Loss Reason Categories

Be honest with loss reasons — the data feeds your pipeline metrics, and accurate loss reasons help you identify patterns over time (e.g., if "Timing" is consistently your top loss reason, that suggests a follow-up sequence for paused prospects could recover future conversions).
Reopening a Lost Deal
If a lost prospect re-engages, you can reopen their deal:
- Find the deal in Pipeline → Closed → Lost
- Open the deal detail page
- Click "Reopen Deal"
- Select the stage to move them back to
The deal's history (including the loss record) is preserved.
