Managing Seat Assignments
Seats are the paid unit in your advisor plan. Each seated client uses one seat. Here is how to manage your seat allocation effectively.
Viewing Seat Usage
Navigate to Seats in the advisor sidebar to see:
- Included seats — how many come with your plan tier
- Assigned seats — how many are currently in use
- Available seats — remaining included seats
- Overflow seats — any seats beyond your included allocation (billed at $5/month each)
Assigning a Seat
When you invite a client and select "Seat" as the relationship type, a seat is assigned when the client accepts the invitation. Alternatively, you can upgrade an existing connected client to a seat from their profile.
Revoking a Seat
If you need to free up a seat:
- Open the client's profile
- Click the three-dot menu
- Select "Revoke Seat"
- Confirm the action
When you revoke a seat:
- The client's account reverts to their previous consumer tier (typically Starter)
- The connection remains — they stay in your client list as a connected client
- Their data is preserved, but premium features become locked on their end
- The seat becomes available for another client
Seat Expiration
You can configure seats to auto-expire after a set period (1-24 months) in Settings → Seat Defaults. When a seat expires:
- The client enters a 7-day grace period with read-only access
- After the grace period, their account reverts to Starter
- The connection remains intact
- You can re-seat them at any time
Seat expiration is useful for seasonal advisory relationships or time-limited engagements. For ongoing clients, "No expiration" keeps their access active until you manually revoke.
Overflow Seats
When all your included seats are assigned, the next seat assignment creates an overflow seat billed at $5/month. Overflow seats appear in your billing as a separate line item. To reduce overflow costs, revoke seats from less active clients or upgrade your plan tier for more included seats.
