Client Data Visibility
What you can see about a client depends on how they're connected to your practice. This reference covers the exact data access for each connection type.
Connected Clients — What You See
Connected clients have their own Policy Stack accounts and have chosen to link to your advisor profile. They remain in control of their own data. New connections default to read/write access, and clients can choose read-only or no data access from their dashboard or settings.
| Data Category | Advisor Visibility | |---------------|-------------------| | Net CV (total CV, total loans) | Yes | | Policy list and names | Yes | | Policy snapshots (CV, DB, loan balance) | Yes — as recorded by the client | | Individual loan details | Yes | | Deployment records | Yes | | Repayment schedules | Yes | | Banking ledger | Yes | | Notes (yours + your team's) | Yes | | Client's personal settings | No | | Client's billing information | No | | Documents uploaded by client | Only if client grants document sharing |
Connected clients can see that you have advisor access to their account. They can revoke that access at any time from their own settings.
Seated Clients — What You See
Seated clients are managed under your practice subscription. You entered their data on their behalf, or they use a seat you've assigned to them. You have full visibility into everything recorded for their account.
| Data Category | Advisor Visibility | |---------------|-------------------| | All banking system data | Full access | | Notes and reminders | Full access | | Activity history | Full access | | Documents | Full access | | Billing (their individual seat) | No — billing is your practice's subscription |
Data That Is Never Visible
Regardless of connection type, you never see:
- Client account passwords
- Client's personal notification preferences
- Any data the client has explicitly marked private (if the privacy toggle is available)
Data Freshness
For connected clients, the data you see is only as current as what the client has entered. If a client hasn't updated their policy snapshot in 8 months, you'll see 8-month-old cash value numbers. The profile header shows the "Last Updated" date so you always know how fresh the data is.
Use the Data Freshness indicator to identify connected clients who may need a nudge to update their records before your next conversation.
