Smart List Use Cases
These are ready-to-use Smart List configurations for the most common advisor scenarios. For each, the conditions are listed so you can recreate them exactly in the condition builder.
At-Risk Clients
Identify clients who are showing signs of disengagement before it becomes a fully lapsed relationship.
Conditions:
- Client Type is Seated
- Engagement Band is Low OR Engagement Band is Inactive
- Last Login Date is More Than 30 Days Ago
What to do with it: Review this list weekly. For each client, check whether there's a pending note, an outstanding action item, or a natural touchpoint (upcoming anniversary, recent loan). Use the list to prioritize outreach calls.
High-Value Prospects
Prospects who have been in discovery or proposal for a meaningful amount of time — these deals represent significant pipeline value and warrant close attention.
Conditions:
- Pipeline Stage is Discovery OR Pipeline Stage is Proposal
- Days in Current Stage is Greater Than 14
What to do with it: Sort by Days in Current Stage descending to see who has been sitting longest. Review each deal for a clear next action. If no meeting is scheduled, create a reminder.
Upcoming Policy Anniversaries (Next 30 Days)
Clients whose oldest policy is approaching its annual anniversary. These are natural touchpoints for annual review conversations.
Conditions:
- Has Any Policy is True
- Policy Age (Years) is Between 0 and 20 (adjust the upper bound to your book's age range)
- Tags Contains Any "anniversary-upcoming" (or use a date-based condition if anniversary dates are recorded)
If you tag clients when you record their policy anniversary dates, this list becomes very precise. Build a habit of adding the "anniversary-[month]" tag when you onboard a client so this list stays accurate automatically.
Repayment Opportunities
Clients with active policy loans who haven't recorded any repayment activity recently. These are candidates for a check-in conversation about their loan repayment progress.
Conditions:
- Has Active Loan is True
- Days Since Last Note is Greater Than 45
What to do with it: This list surfaces clients who may benefit from a repayment planning conversation. Review each client's loan balance and repayment schedule before reaching out so the conversation is grounded in their current position.
Stale Data — Needs Snapshot Update
Clients whose policy data hasn't been updated recently. Fresh data benefits both the client's visibility into their banking system and your practice-level analytics.
Conditions:
- Client Type is Seated
- Has Any Policy is True
- Last Activity (or a snapshot age condition) is More Than 90 Days Ago
What to do with it: Some advisors send a quarterly reminder email to all clients on this list, others prefer a personal note. Either way, the list makes the outreach targeted rather than broadcast.
New Clients (First 60 Days)
Clients who joined recently and are still in the onboarding phase. Monitoring this segment helps you catch clients who aren't getting traction with the platform early.
Conditions:
- Client Type is Seated
- Created Date is Within Last 60 Days
Pair with: Sort by Engagement Score ascending to see new clients with the lowest platform activity. A new client with a low engagement score in their first 60 days may need an onboarding check-in.
Multi-Policy Clients
Clients managing more than one policy — often your most engaged clients and the best candidates for advanced features like portfolio views and cross-policy analytics.
Conditions:
- Policy Count is Greater Than 1
- Client Type is Seated
What to do with it: Use this list when rolling out new features relevant to multi-policy banking, or when identifying clients who might benefit from a deeper banking system review conversation.
