Tracking Client Loan Repayment
Monitoring how clients are repaying policy loans into their banking system is a core part of advisory practice. Policy Stack surfaces repayment data across your client book so you can identify who may benefit from a conversation.
Viewing Repayment from the Client Profile
Open any client's profile and look at Capital In Use on the Banking tab. It shows:
- Policy loan accounts — one carrier-facing account per policy, with current balance, loan rate, LTV, and CV still available
- Draws — the characterized draws nested beneath each account, with drawn amount and current allocated balance
- Repaid this year — the confirmed calendar-year total as a plain fact, without a target or progress grade
- Manual review — a neutral flag when multiple active policy-loan rows prevent a single resolved account view
Actual is implicit for recorded-only financial values; non-Actual values stay explicitly badged. Unconfirmed Auto Log repayments are excluded from the Actual year-to-date figure until confirmed.
Using Smart Lists to Monitor Repayment
Build Smart Lists to surface clients who may be ready for a repayment conversation:

Smart Lists update dynamically. As clients record new snapshots or repayment activity, they move in and out of these lists automatically.
When to Reach Out
The following facts can provide context for a client conversation:
- LTV approaching 90% — this nears typical carrier limits and is worth a factual conversation
- No recorded repayment activity in 90+ days — this describes the ledger history; it does not grade the client's pace
- Snapshot data is stale — if loan data is more than 6 months old, the numbers on screen may not reflect the current position
- New loan draw recorded — the draw row records when and how much was put in use
Loan repayment is a choice the client controls — there is no "right" pace. Frame every outreach as informational, not corrective. The goal is to ensure the client has current data and understands their position.
Recording Repayment Notes
After a repayment conversation, add a note to the client's profile with what was discussed and any decisions made. Tag the note "repayment" so it is easy to find in future reviews.
